Job Title: Accounts Payable Clerk/Bookkeeper Job Summary: Employee performs bookkeeping, clerical, and some administrative work relating to the accounts payable system. Work involves processing, distribution and maintenance of invoices; checking balances and setting up financial records; and financial forms processing. Work involves frequent internal and external contacts within well defined procedures. Responsibilities: - - Receives invoices and check requests.
- - Sorts and reviews invoices and check requests for proper account codes, object codes, discounts, payment terms and payment status.
- Records cash receipts journal and cash disbursement journal. - Operates a computer terminal and maintains extensive knowledge of appropriate computerized systems necessary for data entry and retrieval. - Bills and credits accounts involved with the accounts payable system. - Sets up and maintains a complex record and filing system of accounts payable vendor files and other financial records including purchase orders and invoices for retrieval or review by purchasing administrators. - Responds to questions and makes calls regarding billing problems; acts as a liaison between departments and vendors. - Prepares and processes monthly cost allocation. - Operates all office equipment. - Checks encumbrances, cash disbursements, and inter-departmental transfers for accuracy. - Bank deposits. - Provides clerical support as needed. - Other duties as assigned.
Minimum Qualifications: Education: - Must have an AA degree in Accounting from a business school or community college. - Training in computer operation and standard software programs is required
Experience: Two years experience as an accounting clerk is required, preferably in a fund accounting environment. Other Requirements: - Employee must have a car and posses a valid California Driver's License and adequate automobile insurance coverage. - Successful candidate must pass a pre-employment physical examination at the time of employment. - Must have verification of TB clearance at time of employment. - Must meet State Health Requirements, including a physical examination at time of employment - Must have a valid California Driver’s License, access to an automobile, and adequate automobile insurance - Must have DOJ clearance at time of employment
